The best cold email software is the platform that supports your required workload and lets the team handle replies, exclusions and follow-up reliably. A huge sending allowance or a low theoretical cost per thousand emails is only one part of that decision.

Start with contacts, channels and ownership
Write down how many prospects you need to work, how long their history must remain available and which channels the sequence requires. Then name the person responsible for reviewing messages and handling replies. Without those inputs, plan comparisons become guesses.
For an email-focused operation, Smartlead, Instantly and Saleshandy are useful candidates. If the workflow requires additional channels, investigate the specific Lemlist, Mailshake or Apollo plan supporting them. Do not assume that one vendor is the only multichannel option or that every channel is included at entry pricing.
Woodpecker deserves evaluation when contacted-prospect capacity matches how you operate. Its calculator rate is not a standalone subscription quote, and some non-email operations can count towards its billing metric. Read its billing definitions before modelling spend.
Why cost per thousand sends can mislead
Smartlead Pro lists $94 monthly for 90,000 emails. Dividing price by the full allowance gives approximately $1.04 per thousand. If you actually send 10,000, the same subscription costs $9.40 per thousand. Both calculations exclude data, mailboxes and time.
Instantly Hyper Growth’s documented $97 monthly and 125,000 emails give approximately $0.78 per thousand at full utilisation, or $9.70 at 10,000 actual sends. A ranking changes depending on whether you compare maximum capacity or actual usage. Neither result establishes which workflow produces qualified opportunities.

If you manage several clients, add permission and workspace-separation tests. If calling is required, test the actual dialer workflow and usage costs. If research is generated by AI, review the underlying evidence before allowing it into a message.
Deliverability features need context
Many platforms include warmup, verification or inbox-placement features. A green dashboard does not prove that real recipients will see or want the campaign. Sender authentication, reputation, recipient expectations and suppression handling remain relevant across products.
Do not use unlimited connected accounts as a reason to bypass provider restrictions. Check the deliverability checklist, and compare email warmup tools only after identifying a gap that an additional product can actually address.
AI writing is not the whole outbound workflow
An AI writing feature can help draft text, but the team still needs to establish who should receive it, what evidence supports it and what happens after a reply. The tool cannot be evaluated solely by how fluent the draft sounds.
